Privacy Policy

Your privacy matters. We design CogniTalking to protect your personal data and to be transparent about how we use it. Learn what information we collect, how it is processed, and the rights you have to control it.

1. Scope of application

This Privacy Policy applies to the use of services provided by CogniTalking (“we”, “our”, “us”). By accessing our website or platform you agree to the policy described below.

  • This notice covers www.cognitalking.ai and related subdomains.
  • It does not apply to third-party websites or services we may link to.
  • If you are a client, additional contractual privacy provisions may apply.

2. Information we collect

We only collect the data needed to deliver and improve our services. This includes contact information, activity data, and content you share with us.

  • Contact details such as name, email, company, job title, and phone number.
  • Usage data including IP address, browser details, pages viewed, time spent, and referring URLs.
  • Content exchanged with our teams through contact forms, chat widgets, or support channels.
  • Platform data processed by virtual agents that you deploy and configure.

3. How we use information

Your data helps us tailor the platform, secure it, and communicate relevant product updates. We never sell personal information.

  • Provide, operate, and support the CogniTalking platform.
  • Respond to demo requests, support questions, or other inquiries.
  • Inform you about new features, best practices, or security updates.
  • Monitor performance, prevent misuse, and comply with legal obligations.

4. Data sharing

We only share personal data with trusted service providers under strict confidentiality.

They are allowed to use the data solely to perform the services requested by CogniTalking.

5. Google API Services — User Data

CogniTalking integrates with Google API Services to enable AI-powered scheduling and calendar management. This section describes how we handle data received from Google APIs.

5.1 Data We Access

Through the Google Calendar API, we access your calendar event data, including event titles, dates, times, attendees, and availability status. We only request access to the specific Google API scopes necessary to provide our services.

5.2 How We Use Google Data

Google user data is used solely to enable AI agents to check your availability, list existing events, create new appointments, update events, and cancel appointments on your behalf through the CogniTalking platform.

5.3 Storage & Security

OAuth access tokens and refresh tokens are encrypted using industry-standard encryption and stored securely. We do not permanently store your Google Calendar event data on our servers — calendar information is retrieved in real time when needed to fulfill your requests.

5.4 Data Sharing

Google user data is not sold, shared with, or disclosed to any third parties, except as strictly necessary to provide and improve the CogniTalking platform, or when required by law.

5.5 Revoking Access

You may revoke CogniTalking’s access to your Google data at any time by visiting your Google Account permissions page at https://myaccount.google.com/permissions and removing CogniTalking, or by disconnecting the Google Calendar integration from your CogniTalking account settings. Upon revocation, we will delete any stored tokens associated with your Google account.

5.6 Google API Services User Data Policy Compliance

CogniTalking’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. For more information, see https://developers.google.com/terms/api-services-user-data-policy.

6. Data security & retention

We apply technical and organizational security measures to safeguard information: encryption, secure hosting, access controls, and regular audits.

Data is retained only for as long as necessary to fulfill the purposes described here or to meet legal requirements.

7. Your rights

You can request access, rectification, deletion, or portability of your personal data. You may also object to certain processing activities or withdraw consent at any time.

Contact us at [email protected] and we will respond within applicable timeframes.

8. Cookies & tracking

We use cookies to analyze usage patterns, remember preferences, and improve navigation. You can manage or disable cookies in your browser settings, but some features may not work as expected.

9. Updates to this Policy

We may update this Privacy Policy to reflect changes in law or our services. When we make changes we will post the updated policy with a new effective date.
